Office relocation, without losing a trading day

A home move that runs a day late is an inconvenience. An office move that runs a day late is a business that cannot trade. The method is different because the stakes are.

Most office relocations happen on a weekend for exactly this reason: the business needs to be open and functional on Monday, with every workstation, phone line and filing cabinet exactly where it needs to be. That only happens with a plan that starts weeks before the truck does.

Six weeks out: the plan

  • Confirm the move date and get it into a shared calendar — most Sydney office relocations happen on a Friday evening through Sunday.
  • Walk both sites with your removalist. Note lift access, loading dock booking windows, and any building management requirements — many commercial towers require a certificate of currency and a booked loading dock slot before they will allow a move at all.
  • Appoint one internal move coordinator. A relocation run by committee is a relocation that misses things.
  • Notify your IT provider or internal IT team early — server and network downtime needs its own plan, separate from furniture.

Three weeks out: labelling, not boxes

The single biggest time cost in an office move is not the packing — it is the unpacking, when nobody can find anything. The fix is a labelling system agreed before a single box is packed: colour-coded stickers or a simple number per department, matched to a floor plan of the new office with the same numbers marked on each area.

  1. Print a floor plan of the new office and assign each desk, meeting room and storage area a number.
  2. Label every box and piece of furniture with the number of its destination, not its origin.
  3. Give the removalist a copy of the floor plan on the day — it turns "put it somewhere" into "put it exactly here", and cuts hours off the unpack.

IT and equipment: the part that actually stops trading

Furniture arriving late is an inconvenience. A server, phone system or EFTPOS terminal arriving broken is a business that cannot open. Specialist equipment — servers, photocopiers, safes — should be flagged to your removalist in advance so the right blankets, trolleys and crew are booked for it, and ideally handled by whoever normally manages that equipment on the IT side, with the removalist responsible for the physical transport only.

Back up servers and critical data before moving day regardless of how careful the move is. It costs nothing and removes the worst-case scenario entirely.

The weekend of the move

  • Desks and non-fragile furniture go first, so the layout is set before equipment arrives.
  • IT equipment travels last on, first off, and is unpacked and tested before the crew leaves — not discovered broken on Monday morning.
  • Keep one desk phone or a mobile number live throughout the move for anyone who needs to reach the business.
  • Do a final walkthrough of the old site for anything left behind — filing cabinets and storerooms are where things get missed.

Monday morning

If the labelling and IT steps above were done properly, Monday morning looks like: desks in place, phones ringing, and staff finding their own workstation without asking where anything is. That is the actual measure of a successful office move — not that the furniture arrived, but that nobody noticed the business had moved at all.

01 How much notice does a commercial building need for a loading dock booking?

It varies by building, but many Sydney commercial towers want two to four weeks' notice for a loading dock and lift booking, plus a certificate of currency from the removalist. Check with building management as soon as your date is set.
